1. Who We Are

This Privacy Policy explains how Spawner SMP LTD (“SpawnerSMP”, “we”, “us” or “our”) collects and uses personal information when you use the SpawnerSMP Minecraft network, website, store, Discord support services and related services.

If you do not agree to the terms governing use of SpawnerSMP, you must not access or use the SpawnerSMP server, website, store or related services.

2. Information We Collect

Depending on how you use SpawnerSMP, we may collect or process:

Minecraft information — your Minecraft username, UUID and information needed to identify your Minecraft account.

Account-linking and session information — link codes, authentication status, session identifiers, timestamps and related information used to connect your Minecraft identity to the SpawnerSMP website or store.

Purchase and transaction information — products purchased, amounts, transaction or payment references, payment status, refunds, disputes, delivery status and billing or contact information that is provided to us by you or our payment processor.

We do not need to receive or store your full payment-card number or card security code when payment is handled by our payment processor.

Gameplay information — balances, virtual items, ranks, entitlements, progression, statistics, claims, moderation history and other information associated with your Minecraft UUID or use of the server.

Technical and security information — IP addresses, timestamps, server and website logs, device/browser information where available, security events, failed authentication attempts and information reasonably necessary to detect abuse or protect our systems.

Support and communications information — information you provide when contacting us by email, opening a Discord ticket, reporting a problem, making a legal or privacy request, or otherwise communicating with SpawnerSMP.

We may also receive information from services involved in providing SpawnerSMP, including Minecraft/Microsoft services, payment processors and Discord, where necessary for the relevant feature or transaction.

3. How We Use Your Information

We use personal information where necessary to:

operate the Minecraft network, website and store;

identify your Minecraft account and maintain the link between your Minecraft identity and SpawnerSMP services;

process purchases, deliver digital entitlements and maintain transaction records;

manage ranks, virtual items, balances, progression and other account-linked game data;

provide support and respond to enquiries;

prevent fraud, payment abuse, cheating, exploitation, attacks and unauthorised access;

investigate technical problems, moderation matters, disputes and security incidents;

enforce our Terms of Service and server rules;

maintain, debug, secure and improve SpawnerSMP;

comply with tax, accounting, legal and regulatory obligations; and

establish, exercise or defend legal claims where necessary.

We do not sell your personal information.

4. Lawful Bases

Under UK data protection law, we must have a lawful basis for using personal information.

Contract — we use information where it is necessary to provide a service or digital entitlement you have requested, including account linking, purchase fulfilment and operation of account-linked features.

Legal obligation — we use and retain information where necessary to comply with legal obligations, including applicable tax, accounting and regulatory requirements.

Legitimate interests — we may use information where necessary for our legitimate interests in operating, securing and improving SpawnerSMP; preventing fraud, cheating and abuse; maintaining accurate service records; handling disputes; and protecting our players, systems and business. We consider the impact on your rights and interests before relying on this basis.

Consent — where we specifically ask for consent for a particular use, you may withdraw that consent at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.

The appropriate lawful basis depends on why particular information is being used. More than one basis may apply to different uses of information.

5. Payments

Payments may be processed by third-party payment providers such as Stripe. Payment providers process payment information under their own terms and privacy information.

SpawnerSMP may receive transaction information needed to confirm payment, fulfil purchases, issue refunds, investigate disputes, maintain financial records and prevent fraud. This may include a payment reference, amount, currency, payment status and billing or contact information made available to us by the payment provider.

SpawnerSMP does not require access to your full card details in order to deliver your purchase.

6. Minecraft Account Linking and Website Sessions

SpawnerSMP may use one-time or time-limited linking codes to associate a website or store session with a Minecraft account.

We use this information to authenticate the player, remember the linked Minecraft identity for the permitted session period, deliver purchases to the correct account and protect the store against unauthorised use.

Authentication codes and sessions may expire and may be invalidated for security reasons. We may retain security records relating to authentication attempts where reasonably necessary to investigate abuse or protect the Service.

7. Cookies and Similar Technologies

SpawnerSMP may use cookies or similar browser storage where necessary to keep you signed in, remember your linked Minecraft account, maintain a shopping or checkout session, protect the website and provide requested functionality.

Where a cookie or similar technology is not strictly necessary and applicable law requires consent, we will request that consent before using it.

The website may provide additional cookie information where appropriate as its functionality develops.

8. Discord and Support

If you use the SpawnerSMP Discord server or ticket system, Discord processes information under its own privacy terms. SpawnerSMP may process your Discord username or identifier, ticket contents, messages you send to staff and information reasonably required to resolve your request.

Support records may be associated with your Minecraft account where necessary to identify you, resolve an account or purchase issue, or maintain an appropriate record of moderation, fraud or security matters.

Please avoid sending unnecessary sensitive personal information through support tickets.

9. Sharing Your Information

We may share personal information only where reasonably necessary with:

payment processors and financial service providers used to process transactions;

hosting, infrastructure, security and technical service providers that help us operate SpawnerSMP;

Minecraft/Microsoft services where necessary for Minecraft identity or related functionality;

Discord where you choose to use Discord-based community or support features;

professional advisers, insurers, auditors or accountants where necessary;

law-enforcement, regulators, courts or other authorities where disclosure is required or permitted by law; and

a purchaser, successor or adviser in connection with a genuine business sale, restructuring or similar corporate transaction, subject to appropriate protections.

Service providers acting on our behalf should receive only the information reasonably necessary for their role and are subject to applicable data-protection requirements.

10. International Transfers

Some third-party providers used by SpawnerSMP may process personal information outside the United Kingdom.

Where UK data protection law requires safeguards for an international transfer, we will rely on an applicable lawful transfer mechanism or require appropriate safeguards. Information about relevant safeguards can be requested using the contact details in this policy.

11. How Long We Keep Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, security, fraud-prevention and dispute-resolution requirements.

Company accounting and transaction records may need to be retained for at least six years from the end of the relevant company financial year, or longer where the law requires.

Gameplay and account-linked data may be retained while your account or relevant SpawnerSMP service remains active and for an appropriate period afterwards where needed for service integrity, dispute handling, fraud prevention or enforcement.

Authentication codes and active sessions are generally short-lived. Security and technical logs are retained according to operational and security needs and are deleted or anonymised when no longer reasonably required.

Support, moderation and dispute records may be retained for as long as reasonably necessary to resolve the matter, maintain appropriate enforcement records, prevent repeated abuse or establish, exercise or defend legal claims.

12. Your Data Protection Rights

Depending on the circumstances and lawful basis, UK data protection law may give you rights to:

be informed about how your personal information is used;

request access to personal information we hold about you;

ask us to correct inaccurate or incomplete information;

ask us to erase personal information in certain circumstances;

ask us to restrict the use of personal information in certain circumstances;

object to processing based on legitimate interests in certain circumstances;

receive or transfer certain information where the right to data portability applies; and

withdraw consent where processing is based on consent.

These rights are not absolute and exemptions may apply.

If you have concerns about how SpawnerSMP uses your personal information, please contact admin@spawnersmp.com first so that we can investigate.

You also have the right to complain to the UK Information Commissioner’s Office (ICO) about our handling of your personal information.

14. Children

Minecraft and SpawnerSMP may be used by younger players. We aim to collect only information reasonably necessary to provide, secure and administer the Service.

Where we process children’s personal information, we take their interests and rights into account. If a purchase or other activity requires a person to have legal capacity or parental/guardian authorisation, the requirements in our Terms of Service also apply.

We do not ask players to provide unnecessary sensitive personal information through gameplay or support.

15. Security

We use reasonable technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse or alteration.

No online service can guarantee absolute security. You are responsible for protecting your Minecraft account and any SpawnerSMP authentication links or active sessions issued to you.

16. Automated Decisions

SpawnerSMP may use automated systems for ordinary game mechanics, security checks, anti-abuse measures or technical administration. We do not currently use solely automated decision-making that produces legal or similarly significant effects on players unless we tell you otherwise and provide any information required by law.

17. Changes to this Privacy Policy

We may update this Privacy Policy when our services, technology, providers or legal obligations change.

The current version will be published on the SpawnerSMP website with an updated revision date. Where a change materially affects how we use personal information, we will take reasonable steps to bring the change to your attention where required.
